Column names below are the ones on screen. You can hide most of them with Columns.
Guests and housekeeping
Section titled “Guests and housekeeping”Lists of bookings and units, to read on the day or print. All of them read your live bookings.
- Arrivals: Bookings checking in, with arrival time, guests and balance due. Columns include Arrival, Nights, Unit, Guest, Est. arrival, Channel, Booking ref, Balance due and Guest message. Email and Phone are available but start hidden. The total row adds up adults, children and balance due. A cancelled booking owes nothing, so its balance is empty.
- Departures: Bookings checking out, and who arrives next in the same unit. Columns include Departure, Guest, Balance due, Next arrival and Next guest. When no one arrives in that unit within 14 days, the next guest reads None within 14 days.
- In-house guests: Guests staying on any night in the range. Columns are Check-in, Check-out, Property, Unit, Room type, Guest, Guests and Nights, where nights counts only the nights inside the dates you chose.
- Daily activity: Departures, arrivals and stay-throughs, day by day. Each day is a heading with a count line, and its bookings are split into Departures, Arrivals and Staying. It has the same columns as the arrivals report, with Check-in and Check-out instead of Arrival, and the hidden Email and Phone too.
- Daily unit status: Every unit's status each day: vacant, arriving, turnover and more. Each day lists every unit with a Status of Vacant, Arriving, Departing, Turnover, Occupied, Blocked, Owner stay or Out of service. Unit note is available but starts hidden. It covers at most 92 days.
- Housekeeping: Units that need cleaning each day, with the linked cleaning task. See Read the housekeeping report.
The arrivals, departures, in-house and daily activity reports can be filtered by booking status and channel. The daily unit status and housekeeping reports can be filtered by booking status.
Occupancy
Section titled “Occupancy”Night counts and how full your properties are. These reports read the prepared figures that the Overview tab uses, so the same dates give the same numbers. The definitions are in Understand occupancy, ADR and RevPAR.
- Daily occupancy: Rooms, sold, unsold and occupancy for each date. One row per date with Rooms, Sold, Unsold, Blocked, Owner stay, Out of service, Delisted, Unassigned, then Arrivals, Departures, Stay-throughs, Guests and Occupancy. A Total row and a Daily average row close the table.
- Room occupancy grid: Occupancy by room type and date. Each row is a room type and each column a date. A cell shows the sold nights out of the rooms, then the percentage. A Total column ends each row. It covers at most 92 days.
- Monthly occupancy: Occupancy by room type and month. The same layout with one column per month, each cell showing the percentage.
- Channel performance: Bookings, nights and revenue by sales channel. Columns are Channel, Bookings, Sold nights, Guest nights, Share of sold nights, Room revenue and ADR. Revenue is shown before OTA commission.
The occupancy and revenue reports have no booking status or channel filter.
Financial
Section titled “Financial”Revenue by date, month and guest country, and the money received. Money columns need permission to view financials. See Use the report library.
- Daily financial summary: Occupancy, room revenue, ADR and RevPAR for each date. It shows the night counts, Guests, Occupancy, Room revenue, ADR, RevPAR and Revenue per guest. Set Group by to Date and room type to get one row per room type per date, with Property and Room type columns added.
- Monthly summary: Turnover, nights, ADR, clients and bookings for each month. One row per month, with Turnover, Nights, ADR, Clients and Bookings, and a Total row at the end. Turnover and nights are counted per night, so a stay that crosses a month end is split between the two months. Clients and bookings are counted once, in the month the guest arrives. Cancelled and no-show bookings are not counted in clients and bookings; nights and turnover still include no-shows. It opens on Year to date.
- Monthly revenue: Room revenue by room type and month. Rows are room types, columns are months, and Total ends each row. Use Count revenue by to choose when revenue is counted: Stay night (the default, each night in its own month), Check-in date, Check-out date or Booking date. With the last three, Each booking's whole room revenue is counted in the month of the chosen date.
- Guest countries: Bookings, nights and revenue by guest nationality. Columns are Country, Bookings, Nights, Average stay, Guests, Guest nights, Room revenue, Revenue per booking and Revenue per night. Bookings with no nationality are listed as Unknown.
- Payments: Every payment received and refund made, with its booking and method. It has one row for each payment received and one for each refund, and refunds are negative amounts. Columns are Date, Booking ref, Guest, Property, Unit, Check-in, Check-out, Method, Description, Type and Amount. The Type column reads Payment or Refund. The Method column reads Manual, Stripe or Pokpay, and OTA card for a charge to the card a booking site passed on. Only money actually received or refunded is listed. Unpaid, pending and expired payment links are not included. Refunds are shown as negative amounts. A refund picked up from the payment provider is dated when Autohost recorded it. The Total row is the net amount for each currency, so refunds reduce it and currencies are not added together. Use Date basis to place each row by Payment date (the default), Check-in date or Check-out date. It has no booking status or channel filter.
- Outstanding balances: Bookings arriving in the range that still owe money. Columns are Booking ref, Guest, Property, Unit, Check-in, Check-out, Channel, Total payable, Paid, Balance due and Days until arrival, counted from today. Cancelled bookings and bookings the booking site collects the money for are left out, and so are bookings with nothing left to pay. It can be filtered by booking status and channel.
